Ventoy is very good, but I have had installations fail with it and succeed with just the ISO on the flash drive (namely Fedora on a 2015 office PC). It might be good to have a few options ready.
I don't have any control over a venue, but if the date and life events are compatible I'd like to volunteer my time to help out at the event 🖐️.
